Add a contractor

In this article: Create a single contractor record by hand, and what each field is used for.

One contractor, by hand. For more than a few at a time, import them instead.

  1. Open Contractors

    Contractors in the sidebar, then Add Contractor at the top right.

  2. Enter the name

    Name is the only required field. Use the legal business name if you have it — it's what state license records are indexed by, so it makes license search work first time.

  3. Add contact details

    Email is where document requests and renewal reminders go. You can add it later, but every request will ask you to type it until you do.

    Phone and the remaining fields are for your own reference. Nothing is sent to them.

  4. Save

    Save. You land on the contractor's page, ready to file documents against.

Naming that saves you trouble later

Two contractors called "Rodriguez" and "Rodriguez Electric" are hard to tell apart in a dropdown eighteen months from now. Enter the name the way it appears on their certificate of insurance — that's also the name that has to match when a certificate is parsed, and it's what an auditor will be looking for.

Note

Duplicates aren't blocked. If two people add the same contractor under slightly different names you'll end up with two records and split document history, which is tedious to unpick. Search before you add.

What happens next

Ask for their paperwork with a document request, or file a certificate you already hold by uploading it yourself.
