Vendors, Tenants and Renters in One Compliance Roster

Not everyone you collect a certificate from is a contractor. Add categories beside your vendors (tenants, renters, franchisees, or your own words) and each gets a list of its own. A caterer that supplies you and rents your hall is still one record, with one upload link.

How third-party categories work

  1. 1

    Add your categories

Pick from presets (Tenants, Renters, Event Hosts, Franchisees, Permit Holders and more) or type your own. Your current roster stays the default category, under the name you already use.

  2. 2

Each one gets its own list

The sidebar groups them under one heading. Open Renters and you see only renters, with their own counts, search and an "Add Renter" button.

  3. 3

    Tick every role that applies

One entity can be in several categories. It shows on each list but keeps one set of documents and one upload link, so nobody is chased twice.

One roster, whoever you work with

Private schools

Vendors · Renters · Event Hosts

The plumber and the youth league renting the gym, side by side but never mixed up.

Property managers

Vendors · Tenants

Every vendor's COI and every tenant's, in one place, each list with its own counts.

Municipalities

Contractors · Permit Holders · Concessionaires

Public works contractors, special-event permit holders and the food vendors at the summer fair.

Franchisors and co-ops

Suppliers · Franchisees · Members

Approved suppliers next to the franchisees or members who carry your brand.

See how it fits municipalities and local governments, franchises, chains and cooperative groups, private schools and property managers.

Across the app

  • The Action Queue filters by category, and every row shows its categories.
  • Your team's emails name the category beside the name: "Bright Kids Club (Renter) sent their certificate".
  • Exports carry a Category column, and so does the API.
  • Screens about everyone use one word for all of them: Third parties, Partners, or your own.

What stays the same

  • Requirements. Everyone is checked against your compliance rules. A rental or lease that needs more gets an assignment with its own minimums.
  • What they see. Renters and tenants upload through the same link and get the same emails. They're never told what category they're in.
  • Your data. Removing a category never deletes anyone. People only in it go back to the default list.

Simple, transparent pricing

Third-party categories are on Pro. Renaming what you call your roster is on every plan.

Frequently asked questions

What are third-party categories?
Groups for the different kinds of outside parties you collect insurance and documents from: vendors, tenants, renters, franchisees, permit holders or your own words. Each category gets its own list in the sidebar, and one entity can belong to several.
Can one company be both a vendor and a renter?
Yes. Tick both categories and it's one record on both lists, with one upload link and one set of documents. Nobody is asked for the same certificate twice.
Can renters have different insurance requirements from vendors?
Not by category: everyone is checked against your organization's requirements. For a rental, an event or a lease that needs more, create an assignment with its own coverage minimums and documents, and add the renter to it. That's how requirements differ per job or per rental today.
Do renters or tenants see what category we put them in?
No. The upload link and every email they receive use the same neutral wording. Categories are how your team organizes the roster.
What happens to our existing contractors?
Nothing changes until you add a second category. Your existing roster becomes the default category, keeps its name, and can't be removed. Removing a category later never deletes anyone: people only in it go back to the default.
Which plan includes categories?
Pro. Renaming what you call your roster (Vendors, Suppliers, your own word) is on every plan. See pricing.
