Contractors

Usually required: General liability, auto and workers' comp at the minimums your contracts set, with the municipality named as additional insured.

Where municipal certificates usually go wrong

The certificate covers the wrong dates

An annual policy that renews the week before your event, or an event policy written for the wrong weekend. Each coverage's own dates are read, so the gap shows before the permit is issued.

The city typed into the holder box, not endorsed

Being the certificate holder doesn't make you additional insured. Ask for the endorsement page; on Pro it's read off the upload.

One renewal nobody chased

Annual contracts outlast annual policies. Alerts go to the vendor with their upload link before the policy lapses, so the renewal arrives without anyone following up.

Is TrackMyVendor suitable for a small city or town?
Yes. It's built for teams without a dedicated risk department: a clerk's office, a parks department or a public works office. There's no implementation project: add your vendors, send each one an upload link, and certificates are read as they arrive. The free plan covers up to 25 vendors.
Can we track special-event permit holders separately from contractors?
Yes, on Pro. Add categories such as Permit Holders, Concessionaires or Facility Renters beside your contractors, and each gets its own list. For an event that needs particular minimums, create an assignment for it with its own coverage and documents, and add the permit holder to it.
Do permit holders need an account to send their certificate?
No. Every vendor, renter and permit holder uploads through an emailed link that needs no login and works from a phone. The page lists exactly what they still owe.
Can we require a hold harmless agreement or a facility use agreement?
Yes. Required documents (on Starter and above) put them on the checklist and the upload link. Your own document types, with a blank form people can download and sign, are on Pro.
Do you check liquor liability or other special coverages?
Minimums are checked for general liability, auto, workers' comp and umbrella. Other lines stay on the certificate, which is stored with the vendor's record, but aren't graded against a minimum. A liquor license or health permit can be tracked as a document with its expiry date.
Can our insurance pool or broker see our vendors?
Invite them as a team member, or, if your broker manages several clients, they can work in TrackMyVendor's agency console. Either way your data stays in your organization.
Can we prove a contractor was insured on a past date?
Yes. Every past policy year stays on file with its dates. On Pro, the insurance audit report lists each vendor's coverage over a period and every gap, with the certificates behind it.
