Subcontractor Prequalification From Their Documents, Not a Questionnaire
Send a sub one secure link. Their EMR letter and three years of OSHA 300As are read for you, TRIR and DART are worked out and set beside their trade's national average, and everything lands on one scorecard next to your limits. Then approve them up to a job size, and invite who's qualified.
30-day free trial, no credit card. Add PreQual ($69/mo) from Settings → Billing when you're ready.

How prequalification works with PreQual
Send one link
Add a sub you're considering and send them one secure link. They upload their certificate, EMR letter, three years of OSHA 300As, bonding letter and your own questionnaire. No account, no fee, nothing to install.
Get it read for you
The EMR is read off the letter; hours worked and case totals off each 300A. TRIR and DART are worked out, compared with the national average for the sub's trade, and set against your limits.
Decide, then invite
One scorecard per sub. Approve up to a job size, approve with conditions or decline. Export who's qualified for the job you're bidding, and add a sub to your contractors list when you want them on it.
General contractors
Estimating, preconstruction and risk teams building the bid list: which subs to invite, up to what size of job, and who needs re-qualifying first.
Owners and developers
Prequalifying the GC and the trades you contract directly, with bonding capacity weighed first. Contractor prequalification for owners →
Prospects & approval
Vet a sub before they join your list
Prospects have their own screen: who's been asked, who's sent everything, who's overdue. Approve, approve with conditions (a note, and the document it waits on) or decline. An approved sub is prequalified: they can be on your bid lists without counting toward your plan, and you add them to your contractors list when you want them on it.
- ✓One secure link per sub, with a respond-by date and one automatic follow-up
- ✓A possible-duplicate warning when the same business is already on file
- ✓Up to 200 prospects at once, outside your plan's contractor limit
EMR & OSHA 300A read for you
Three years of safety history, worked out
The EMR is read off each letter, so you see whether it's rising or falling. Each 300A year gets its own line of hours, recordable cases, TRIR and DART. The three-year rates come from summed cases over summed hours, never an average of yearly rates, and sit beside the national average for the sub's trade, matched by the NAICS code on the 300A.
- ✓Flagged when above your maximum EMR or TRIR, or above the trade average: a flag, never a grade
- ✓A letter or 300A naming a different company is pointed out
- ✓Anything read wrong can be corrected by your team, and is marked as typed
- ✓Read from the documents, not verified with the carrier, rating bureau, surety or OSHA
Scorecard & compare
One page per sub, against your limits
License, insurance, safety, company and bonding, each row reading what's on file, your limit, and whether it meets it. There is no overall score: you see why, not a number someone else picked. Tick two to five subs to compare them side by side, grouped by trade, on screen or as one PDF for the bid file.
- ✓Meets, Review, Not on file or N/A on every row
- ✓A PDF to hand to an owner or lender
- ✓The decision and its conditions printed with it
Qualified limits & Export for Bids
Approve up to a job size, then invite who fits
Approve a sub up to an amount a job and in total, pre-filled from their bonding letter. When you bid, filter your approved subs by trade, service area and job size, and copy their emails or download a CSV for the bidding tool you already use. TrackMyVendor lists who to invite; invitations and bids stay where they are.
- ✓Trades from a fixed list, by CSI division
- ✓"Meets my limits": nobody with anything to review or missing
- ✓Prequalified subs and your existing contractors, or both
Also in PreQual
Your own questionnaire
Upload the prequalification form you already use. Subs download it from their link, fill it in and send it back with everything else. It isn't asked of contractors already on your list.
Bonding letters read
Surety, single-project and aggregate limits read off the letter and held against your minimum. The figures pre-fill the sub's qualified limits.
Re-qualify on a schedule
Every 12 or 24 months, or sooner when a sub's newest 300A or EMR letter is out of date, they're sent a request and come back to you to decide again.
Prequalify subs you already use
Contractors on your list from before can be prequalified in bulk: one request each, a decision each, and nobody taken off your list.
Documents, not a questionnaire
Most prequalification tools hand the sub a form and trust what they type. PreQual asks for the documents behind the answers.
| Typical questionnaire tool | TrackMyVendor PreQual | |
|---|---|---|
| EMR | The sub types a number into a form | Read off the EMR letter they upload |
| TRIR and DART | Typed by the sub, or left blank | Worked out from the hours and cases on each 300A |
| Three-year rate | Often an average of yearly rates | Summed cases over summed hours, never an average |
| Benchmark | Rarely shown | The national average for the sub's trade (BLS, by NAICS code) |
| Decision | A black-box risk score | Each figure against your own limits, no overall score |
| For the sub | An account, sometimes a fee | One secure link, no account, no fee |
