How endorsement verification works

Endorsement review usually means opening a twenty-page PDF behind every certificate. Here it is three steps, and only the first one involves anyone.

Ask for the endorsements, not just the certificate

Require the endorsements on the sub's checklist and their upload link asks for them by name. The endorsement pages can come behind the certificate in one PDF or as separate files — the reader works out which it received. No account, no portal: most subs finish from a phone in under two minutes.

Every form is identified by its ISO number

Carriers title endorsements however they like; form numbers are a fixed vocabulary. Each endorsement is classified by its form number first — so a CG 20 01 is read as primary and non-contributory even when the cover sheet calls it "additional insured" — along with its edition, the policy it amends and its dates.

Checked against what you require

Each required endorsement reads as met, expiring, expired or missing on the sub's checklist. A ticked ADDL INSD box on the certificate never satisfies it on its own — only the form does. Set requirements per job.

An ACORD 25 is a summary the agent writes. Its ADDL INSD and SUBR WVD boxes are a statement that an endorsement exists — useful, and not the same thing as the endorsement.

The endorsement gaps that show up most

None of these is visible on the certificate. All of them are visible on the forms.

CG 20 10 without CG 20 37

Ongoing operations covered, completed operations not — so a claim that arrives after the job is finished, when many of these claims arrive, falls outside it. CG 20 10 vs CG 20 37.

A scheduled form that doesn't name you

A scheduled additional insured endorsement covers only the parties printed on it. If your entity — or the owner your prime contract requires — isn't on the schedule, the endorsement exists and you still aren't on it.

A waiver on one policy, not the other

A CG 24 04 waives subrogation on general liability. It does nothing for workers' comp, which needs its own WC 00 03 13 — and that is often the waiver a subcontract cares about most.

Last year's endorsement on this year's policy

The policy renewed; the endorsement on file belongs to the old policy number. Endorsements carry their own dates, and an expired one reads as expired even when the certificate behind it is current.

What is endorsement verification?
Endorsement verification is checking the endorsement forms attached to a policy — not just the boxes ticked on the certificate of insurance — to confirm the coverage your contract requires actually exists: additional insured, waiver of subrogation, primary and non-contributory, and notice of cancellation. A certificate is a summary written by the agent; the endorsement form is the part of the policy that gives you the protection.
Which plan includes endorsement verification?
Pro. Reading endorsement forms off uploads is a Pro feature. On Starter you can still require an endorsement on the checklist, answered by the endorsement document uploaded against it; Pro reads the form itself, classifies it and dates it.
Does it check that my company is named on the endorsement?
It shows you. For a scheduled endorsement, the names printed on the form are listed on the record next to the form number, so checking them is a glance rather than opening the PDF. Comparing those names with your exact legal entity stays with you — we show the names; we don't decide whether a near miss counts.
Is a ticked ADDL INSD box on the certificate enough?
No. The ADDL INSD and SUBR WVD boxes on an ACORD 25 are the agent's statement that an endorsement exists. TrackMyVendor records a ticked box as a claim, not as cover — only the endorsement form satisfies an endorsement requirement.
Do you offer human review of endorsements?
No. Endorsements are read automatically the moment they are uploaded, with no review queue and no per-document fee. Whether a particular edition or wording satisfies your prime contract is a question for your broker or counsel; we tell you which form is on file, what it covers and when it ends.
What if the subcontractor sends the endorsements separately from the certificate?
Either way works. Endorsement pages behind the certificate in one PDF, or as separate files — the reader works out which it received. Certificates already on file can be re-read, without anyone uploading them again.
What about carrier forms that don't use ISO form numbers?
Carriers' own forms are matched on the wording of their titles instead — "Blanket Additional Insured", "Waiver of Our Right to Recover From Others" and the like are recognized for what they are. A form whose title says nothing recognizable isn't classified, so it never counts toward a requirement by mistake; the requirement stays missing until a form that answers it is on file.
What happens when an endorsement expires?
An endorsement carries its own dates, or the dates of the document it came on. On the requirements checklist it shows as expiring 30 days ahead and as expired afterwards, so a renewed policy with no renewed endorsement doesn't pass as compliant.
