Import contractors from a spreadsheet

In this article: Upload a CSV or Excel file of your existing roster and review every row before anything is created.

If your roster already lives in a spreadsheet, put the file in rather than retyping it. Columns are detected automatically, and nothing is created until you've seen exactly what will be.

  1. Open the import dialog

    ContractorsImport at the top right.

  2. Pick the spreadsheet option

    Choose Contractors — the other option is for a folder of certificates.

  3. Upload the file

    Drop the file in. Columns are matched by their headers — a column called Name, Company or Contractor all land in the right place, and so do Email, Phone and License Number.

  4. Review the preview, then import

    You get a preview of every row before anything is written. Read it. This is where you catch a header row imported as a contractor called "Name", or a column that landed one across because of an empty cell.

    Untick anything you don't want, then click Import Selected.

What the file needs

One contractor per row, and a header row naming the columns. A name column is the only thing that's really required; everything else is a bonus.

Tip

Exporting from a spreadsheet you already keep? Don't clean it up first. Import it as it is, look at the preview, and you'll find out in ten seconds which columns actually matter.

Careful

Importing the same file twice creates a second set of records — matching is not done on name. If an import went wrong, delete the rows it created before running it again.

What happens next

Your roster is in but empty of documents, so everyone shows as No Documents. Two good next moves: run them through license search, and start requesting certificates.
