What an auditor needs, worked out for you

By the policy's dates

A certificate you collected late that shows last year's policy still proves last year. Coverage is read from the policy dates on each certificate, never from when it was uploaded.

Gaps to the day

A renewal that starts the day the old policy expired leaves no gap. A lapse shows as a date range and a day count, the exact stretch an auditor would charge for.

Your GL minimum, checked

Many policies only count a sub as insured at limits like yours. Set a per-occurrence minimum and a policy below it is reported as a gap, with the ADDL INSD box shown beside it.

Workers' comp exemptions

A sub's state exemption certificate, filed with its expiry date, counts as covered up to that date. The report says that only the expiry is recorded.

Nothing assumed silently

A policy row with no dates of its own, or a certificate that couldn't be read, is flagged for you to check by hand. A coverage waiver is your decision, not insurance, so it's still shown as a gap.

What your premium auditor will ask for

Expect a list of every sub you paid during the policy period with the amount, and for each one a certificate showing coverage for the dates they worked, or the state's exemption paperwork for workers' comp. The payments come from your accounting system. The certificates are the half that usually goes missing.

What is a subcontractor insurance audit report?
It lists every subcontractor's insurance over your policy period: which policies covered them, on which dates, and every day nobody did. It's what your insurer asks for at your yearly premium audit, because a sub who can't be shown insured for the dates they worked is often charged on your premium.
Does the report include what I paid each sub?
No. TrackMyVendor never sees your payments; they stay in your accounting system. The spreadsheet has a blank Amount paid column so you can paste your ledger figures next to each sub's coverage.
Which coverage lines does it check?
General liability and workers' comp by default, which are the two premium audits subcontractors affect. You can add auto and umbrella. The insurer's name is read for the general liability policy.
How does it handle a sub with a workers' comp exemption?
When the sub's exemption certificate is on file as a workers' comp exemption with its expiry date, the report counts them as exempt up to that date. Only the expiry date is recorded, so the report marks the exemption as having no recorded start for you to check.
What if a sub's certificate only covers part of the year?
The report shows the covered stretch and the gap, to the day. A sub who was insured can usually get their agent to issue a certificate for the earlier policy period. Upload it and run the report again.
Can I send the report to my auditor as it is?
Yes. The PDF is dated, lists the period, a summary, each sub's policies and gaps, and explains how to read it. The audit pack adds every certificate it cites. It isn't an audit service, though: your insurer decides how to rate a sub, under your policy and your state's rules.
