The information displayed in TrackMyVendor is aggregated from third-party sources, including government databases and user-submitted data, and processed by automated systems including artificial intelligence. We do not independently verify this information. While we strive to keep data current, we make no guarantee, representation, or warranty regarding the accuracy, completeness, timeliness, reliability, or suitability of any information provided through the Service.

Government Data Sources

License data is downloaded on an automated schedule from publicly available government databases, including but not limited to:

• Texas Department of Licensing and Regulation (TDLR)
• Florida Department of Business and Professional Regulation (DBPR)
• California Contractors State License Board (CSLB)

These data sources have inherent limitations:

• Data may be hours or days behind the source agency's records.
• Coverage is limited to specific license types — not all license categories are included.
• Government agencies may change data formats, URLs, or availability without notice, which may cause temporary or permanent gaps in data.
• We do not cover all states or all license types within any state.
• A license appearing as "active" in our system does not guarantee it is currently active with the issuing authority.
• A license not appearing in our system does not mean the individual is unlicensed.

AI-Processed Insurance Data

When certificates of insurance (COI) are uploaded to the Service, they may be automatically processed using third-party artificial intelligence (currently Google Gemini) to extract policy details such as carrier name, policy number, coverage types, limits, and expiration dates.

• AI may misread handwritten, low-quality, or non-standard documents.
• Extracted coverage limits, dates, and policy details may be incorrect.
• The AI does not verify that a policy is currently in force with the carrier.
• An insurance document appearing in the system does not confirm active coverage.

Compliance Scores and Status Indicators

Compliance scores, status labels (e.g., "Compliant," "Non-Compliant," "Warning"), and dashboard metrics are generated by automated algorithms based on available data. These are informational indicators only and:

• Do not represent a legal determination of compliance with any law, regulation, or contractual requirement.
• Are only as accurate as the underlying data, which may be incomplete or outdated.
• Should not be used as the sole basis for any business decision.
• Do not account for all factors relevant to regulatory or contractual compliance.

Automated Notifications

The Service sends automated email alerts for expiring licenses, documents, and insurance certificates. These notifications are a convenience feature and:

• May not be delivered due to email filtering, spam blocking, technical issues, or service outages.
• May contain inaccurate dates or information if the underlying data is incorrect.
• Do not cover all possible compliance issues or deadlines you may be subject to.
• Should not be relied upon as your only method of tracking compliance deadlines.

You remain solely responsible for monitoring and ensuring vendor compliance regardless of whether you receive notifications from the Service.

User-Submitted and Vendor-Submitted Data

Data entered manually by users or submitted by vendors through self-service upload links is not verified by TrackMyVendor. We do not authenticate the identity of vendors who use upload links, nor do we verify the authenticity of documents uploaded through any channel. You are responsible for verifying all user- and vendor-submitted data.

Not Legal or Regulatory Advice

Nothing in the Service constitutes legal, regulatory, insurance, or professional advice. The Service does not determine whether you are in compliance with any applicable law, regulation, ordinance, building code, or contractual obligation. Consult qualified legal, insurance, and compliance professionals for guidance specific to your situation and jurisdiction.

No Liability for Decisions

TrackMyVendor shall not be liable for any decisions you make based on information provided by the Service, including but not limited to: hiring or contracting decisions, payment approvals, project assignments, or regulatory filings.
