Add a client and request authorization

In this article: Create a client organization and email its contact the link that grants you access.

Adding a client creates their organization and emails their contact a link that grants you access. You can't skip the second half — the client's own click is what unlocks it.

  1. Open Client Portfolios

    From Client Portfolios, add a client.

  2. Name the client and its contact

    Enter the company name and the primary contact's email. Get this address right: it's the person who has to click, and a request sent to a shared inbox tends to sit there.

  3. Save

    Save. The organization is created in pending authorization and the contact is emailed a link.

  4. They authorize

    They open it, read what they're agreeing to, tick the box and grant. The client flips to active and you can switch in.

While it's pending

The client is listed so you can chase it, but reports no figures — no contractor counts, no attention items — and can't be opened. Nothing is hidden from you by the interface; the access simply doesn't exist yet.

Resend the request from the client's row if it goes quiet. A phone call usually works better: an unexpected authorization email is easy to mistake for spam.

Tip

Tell the client it's coming before you add them. "You'll get an email from TrackMyVendor in a minute, click the button and we're set up" turns a suspicious email into an expected one, and takes the setup from days to minutes.

A client who already uses TrackMyVendor

Linking an existing organization into your portfolio isn't self-serve — get in touch and we'll set it up. The client still authorizes it themselves; the difference is only in who creates the link.

What happens next

Once they're active, open the client and build their roster — the bulk certificate import is usually the fastest start, since it creates contractors and files their certificates in one pass.
