Add a license we can't verify

In this article: Record a licence from a state or trade board outside our seven, and track its expiry by hand.

For licences we can't verify — a state outside our seven, a city business licence, a trade certification. You keep the expiry tracking; you don't get the state's live status.

  1. Open the Licenses tab

    Open the contractor, go to the Licenses tab, and click Add Manually.

  2. Enter the details

    Enter the licence number, the type or trade, the issuing state or authority, and the expiration date.

  3. Save

    Save. It appears alongside verified licences and is tracked the same way — expiry, alerts, and its effect on compliance status are identical.

The one difference

A manual licence is only as current as what you typed. If the state suspends it tomorrow, nothing here will know — the expiry date you entered is the only thing being watched.

That's still considerably better than not tracking it. It just means that for a manually-entered licence, "not expired" and "in good standing" are different claims, and we can only make the first one.

Tip

Attach the licence certificate itself as a document alongside the record. When someone questions it, the evidence is next to the entry rather than in an email from two years ago.
