What files work
PDFs and photos both. A PDF from your insurance agent is best — it's what they email you when a policy renews.
If you're photographing it
- Flat on a table, not held up.
- Whole page in frame, including the dates.
- Good light, no shadow across the page.
- Straight on, not at an angle.
The dates and coverage amounts are read off the image automatically. A crooked photo in poor light gets read badly, and someone ends up ringing you about it — which is more work for both of you than taking the photo again.

Don't have a current one?
Ask your insurance agent for a certificate of insurance. It's free, it's routine, and they'll usually turn it round the same day. If you need to name the company as a certificate holder or additional insured, tell your agent that when you ask — it's a different request.
