Add each property you manage

The property name as the owner knows it, a line on the asset, and no end date while it is under management. A capital project gets its own entry with its own dates.

The HVAC contractor, the pool service, the landscaper, the make-ready and turnover crews. A vendor across six properties is one record on six properties, and their page lists every one.

A managed property runs until the management agreement ends; the roof replacement runs April to June. Both belong in the same list, with the dates that fit.

Renewals during the capital project

The compliance calendar shows every vendor's COI and license renewal by month. Read it against the project's dates and you know whose certificate lapses before the roofer is off the building — and on Starter and up, subscribe it into Outlook beside the property calendar.

A property leaving the portfolio

When a management agreement ends, give the property an end date. Its requirements stop counting on its vendors and it leaves the Action Queue, while the record of who serviced it stays on file.

Frequently asked questions

How do I track which vendors service which property?
Create each property — rename projects to Properties in Settings — and assign the vendors who work there from your roster. The property's page lists them with their status for that property; each vendor's page lists every property they service. The pool company that covers six of your properties is one vendor on six properties.
Do properties need an end date?
No. A property with no end date stays active for as long as you manage it. Set an end date when the management agreement ends and the property leaves your portfolio — after that its requirements stop counting on its vendors, and the record stays on file.
Can we track a capital project separately from the property?
Yes. The roof replacement or the elevator modernization at The Linden can be its own entry with its own start and end dates and its own vendors, so the roofer is tracked for the length of the job and drops off when it is done.
Can each owner get a report for their own property?
Yes. Export a PDF or Excel report for one property: every vendor assigned to it and their status, dated the day you run it. Attach it to the monthly owner report, or send it when the asset manager asks — it shows nothing about the rest of your portfolio.
Can different owners have different insurance requirements?
Yes. Each property can carry the owner's own coverage minimums and document list from the management agreement, on top of your management company's defaults. See compliance rules for property managers.
