A job goes in when the contract is signed and comes off when the punch list is done. In between, it is where you look to know who is on it.

The job number or the address, a line of description, mobilization as the start date and substantial completion as the end.

Pick them from your roster — the electrician, the drywall crew, the mechanical sub. A sub on three jobs is on three jobs; their page lists every one, with its dates, which is how you answer "where are they working for us right now?"

Check the job before mobilization

Every job is Compliant, Non-Compliant or has no subs on it yet, and the dashboard counts each. Open the job to see which sub is short and why — before the crew arrives, not after the owner's risk manager asks.

The job schedule and the COI schedule are not the same schedule

A sub's certificate is dated to their policy year, not to your job. The one you collected at mobilization in March renews in August, right in the middle of rough-in.

What lapses before substantial completion

The compliance calendar lays every sub's COI and license renewal out by month. With the job's end date in front of you, the renewals that land inside it are the ones to get ahead of — and on Starter and up, subscribe the calendar into Outlook or Google Calendar beside the job schedule.

Closeout takes the job off the badge

Once the end date passes, the job's requirements stop counting on every sub who worked it and its rows leave the Action Queue. The job and its sub list stay on file for the warranty call two years later.

The owner's requirements, on the owner's job

Put the prime contract's insurance exhibit on the job — higher limits, an umbrella, additional insured, waiver of subrogation — and the subs on it are held to it on top of your standard subcontract. Flow-down requirements, in detail.

Frequently asked questions

How do I track which subs are on which job?
Create each job — rename projects to Jobs in Settings — with its job number or address and its dates, then assign the subs working it from your roster. The job's page lists them with their status for that job; each sub's page lists every job they are on. A sub can be on as many jobs as you run.
Which dates should I put on a job?
Mobilization as the start and substantial completion or closeout as the end is the usual choice. The end date is the one that does work: once it passes, the job's requirements stop counting against the sub's badge and its rows leave the Action Queue.
Can I see which subs' insurance lapses before the job finishes?
The compliance calendar shows every COI and license renewal across your roster by month, and job dates are not on it — but read it against the job's end date and the certificates to chase now are plain. On Starter and up the 90/60/30/7-day alerts go to the sub with a link to upload the renewal.
Can a job require more insurance than my standard subcontract?
Yes. Give the job its own GL, workers' comp, auto and umbrella minimums and its own required documents from the owner's insurance exhibit. A sub short of them is flagged on the job and on their badge. See compliance rules for general contractors for the flow-down side.
What do I send the owner when they ask if our subs are covered?
The job's PDF report: dated, listing the job, its dates and every sub assigned to it with their status for that job. It answers the owner's question without handing them your sub list for every other job.
Can my supers and PMs see the job status?
