Moving from spreadsheets or another COI tracking tool

A COI migration is usually two files: the vendor list and the certificates. Most COI tracking tools, and every spreadsheet, can give you both.

    Export your roster as CSV or Excel

    From your spreadsheet, or from your current tool's vendor or subcontractor export. Keep the headers it comes with; they are matched for you.

    Import the roster

    Check the preview, untick anything you don't want, and import. Licence records are attached where the numbers match state data.

    Import the certificates

    Zip the PDFs and upload them, 50 at a time. Each one is read, filed under its contractor and graded against your requirements.

Import and export: common questions

Can I import contractors from Excel or a CSV file?
Yes. Upload a .csv, .xlsx or .xls file of up to 200 contractors at a time. The columns are matched from your own headers — name (or first and last name), email, phone, primary contact and licence number — so the file does not need reformatting first. You see a preview, with duplicates flagged, before anything is created.
How do I migrate from another COI tracking tool?
Export your vendor list from the tool you use now as CSV or Excel, and download your certificates as PDFs. Import the list, then import the certificates as a ZIP of up to 50 PDFs per upload: each one is read for carrier, policies, limits and dates and filed under its contractor. Anything still missing afterwards is one upload-link request away.
Can I import insurance details from a spreadsheet?
No, on purpose. Coverage, limits and expiration dates are read from the certificates themselves, not copied from a spreadsheet that may already be out of date. Import the roster from your spreadsheet and the certificates from their PDFs.
Which plan includes bulk import?
File import — a spreadsheet or a ZIP of certificates — is on Starter and Pro. On every plan, Free included, you can paste up to 50 rows copied from a spreadsheet straight into the add-contractors sheet. Your plan's contractor limit applies either way.
Can I export a COI compliance report to Excel or PDF?
Yes, on Pro: the compliance overview, the full contractor roster with licences and documents, and a report per project, each as an Excel workbook or a PDF.
Can I get all of my data out if I leave?
Yes, on every plan. A workspace owner can download one ZIP holding a spreadsheet of every contractor, licence, project, document and certificate, and the uploaded certificate, licence and document files in a folder per contractor.
