COI Intelligence: Automated Coverage Extraction and Compliance Checking

Upload a PDF certificate of insurance and TrackMyVendor's AI instantly extracts the carrier, policy number, coverage types, limits, and expiration dates. No manual data entry required.

Why manually reading COIs doesn't scale

A single ACORD certificate packs carrier info, policy numbers, multiple coverage types, per-occurrence limits, aggregates, effective dates, and additional insured clauses into one dense page. Multiply that by dozens of vendors and the manual review burden becomes unsustainable.

Manually keying in coverage amounts from every COI is slow and error-prone
A typo in a coverage limit can mean the difference between compliant and exposed
Comparing vendor coverage against project-specific minimums requires mental math every time
Expired policies slip through when expiration dates are buried in document text

How COI Intelligence works

Upload a PDF. The AI handles the rest.

1. Upload a COI PDF

Drag and drop or select a certificate of insurance PDF. Standard ACORD forms and most carrier-issued certificates are supported.

2. AI reads the certificate

Within seconds, the AI extracts the insured name, carrier, policy number, effective and expiration dates, certificate holder, description of operations, and every coverage line — including General Liability, Workers' Compensation, Auto, and Umbrella limits.

Vendor compliance detail view showing automatically extracted COI data including General Liability limits, Workers Compensation coverage, and policy expiration date marked as expired

From PDF upload to structured coverage data in seconds. Every field extracted automatically — no manual entry.

3. Coverage data feeds into compliance

Extracted coverage types and limits are automatically compared against your organization's and project-level insurance requirements. If a vendor's General Liability is $500,000 but your project requires $1,000,000, it's flagged instantly.

4. Automated expiration alerts

The extracted expiration date drives automatic email reminders at 90, 60, 30, and 7 days before the policy lapses. No calendar entries to maintain — the system handles it.

Frequently asked questions

What file formats does COI Intelligence support?
COI Intelligence works with PDF certificates of insurance. Standard ACORD forms and most carrier-issued certificates are supported. You can also upload image files (JPG, PNG) which are stored for reference but not analyzed by the AI.
How accurate is the AI extraction?
The AI accurately extracts all structured fields from standard ACORD 25 forms — insured name, carrier, policy number, coverage types, limits, and expiration dates. Extracted data is displayed for your review after upload so you can confirm the results before they drive compliance checks. For non-standard or handwritten certificates, manual review is recommended.
How does coverage comparison work?
You set minimum coverage requirements at the organization or project level — for example, $1,000,000 General Liability. When a COI is uploaded, the extracted coverage amounts are automatically compared against those thresholds. Any gaps are flagged on the vendor's compliance status.
Can I upload multiple COIs for the same vendor?
Yes. Vendors often carry multiple policies — General Liability, Workers' Compensation, and Auto may come from different carriers. Upload each COI separately and all coverage data is tracked together under that vendor's profile.
